This is a fully in-person position in the Dallas, Texas area, not a remote position.

We are seeking a detail-oriented and organized HVAC Warranty Administrator to join our team. This role is responsible for managing warranty claims and coordinating with service, sales, R&D, quality, and customers to ensure a smooth and efficient warranty and tracking process. The ideal candidate will have experience in the HVAC industry, excellent administrative skills, and the ability to multitask in a fast-paced environment.

Essential Job Responsibilities:

  • Process warranty claims for our customers in a timely manner.
  • Review and verify warranty coverage based on contracts and company guidelines.
  • Maintain accurate records of warranty claims, approvals, denials, and reimbursements.
  • Coordinate with service technicians to gather necessary documentation for claims.
  • Communicate with customers regarding warranty coverage, claim status, and resolutions.
  • Follow up on outstanding claims to ensure timely reimbursement.
  • Work closely with the service and parts departments to streamline the warranty process.
  • Identify recurring warranty issues and report findings to cross-functional team.
  • Ensure compliance with company and manufacturer policies regarding warranty claims.
  • Collaborate with the customer service team to improve the process and experience for our
  • customers.

Qualifications:

  • High school diploma or equivalent (associate or bachelor’s degree preferred)
  • Prior experience in HVAC, automotive, or appliance warranty administration
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and warranty processing software
  • Excellent organizational skills and attention to detail
  • Strong communication and customer service skills
  • Ability to work independently and manage multiple tasks efficiently.
  • Problem-solving skills and the ability to analyze warranty-related issues.
  • Ability to thrive in a collaborative team environment.

Preferred Qualifications:

  • Strong knowledge of HVAC systems and components is highly desirable.
  • History of collaborating with global colleagues.
